APPROACH

Understand first. Improve what matters.

Hotel Finance Lab does not begin with a predefined solution. We begin with the existing process, systems, data and the people responsible for each step.

  1. 01Understand
  2. 02Identify
  3. 03Design & Implement
  4. 04Stabilise & Improve

CORE PRINCIPLE

A process usually makes sense in the environment it was built for.

A way of working can be entirely reasonable for the situation it grew out of — even if it no longer serves the hotel as well as it could today. So we do not begin by asking what is "wrong". We begin by understanding why a process works the way it does.

HOW WE WORK

01

Understand

We walk through the current process step by step, identify the data sources, and see where PMS, POS, accounting and Excel are involved. We note who owns each step, which controls and reconciliations exist, and where the process depends on one person. The result is a current-state process and data-flow map, and a clearly defined problem.

Before changing a process, understand why it works the way it does.

02

Identify

We establish whether the real issue is data mapping, system configuration, unclear ownership, spreadsheet logic, repetitive manual work, controls or exceptions — then set out the prioritised issues and a recommended next step.

The goal is not the biggest solution. It is the right one.

03

Design & Implement

Depending on the project, this may include: a target process, a reporting model, a requirements specification, an automated transformation in Excel or Power Query, control and reconciliation design, testing and implementation support.

We design around the hotel — not around a particular tool.

04

Stabilise & Improve

Documented logic, assigned ownership, defined control points, handover and operating instructions, a maintenance routine and a review after implementation.

A good solution should continue to work after we leave.

DIFFERENT PROJECTS, DIFFERENT SCOPE

The approach stays consistent. The scope can vary.

Focused Review

UnderstandIdentifyRecommendation

For example: a month-end reporting review, a reconciliation flow or a PMS-to-accounting mapping.

Improvement Project

UnderstandIdentifyDesign & ImplementStabilise & Improve

For example: a management reporting redesign, a budgeting model or recurring reporting automation.

WORKING PRINCIPLES

  • 01Understand before redesigning.
  • 02Work with the team, not around it.
  • 03Use what already works.
  • 04Automate after the process is clear.
  • 05Leave something maintainable.

WHAT REMAINS AFTER THE PROJECT

The work should become part of the hotel — not remain a consulting project.

  • Clear ownership

Someone in the hotel runs and maintains the process.

  • Documented logic

Mappings, calculations, assumptions and rules written down.

  • Working tools

Models, automation, dashboards or specifications actually in use.

  • Control points

Defined checks and reconciliations, not ad-hoc ones.

  • Knowledge transfer

The team can operate and maintain the solution.

APPROACH IN PRACTICE

What a typical engagement looks like.

A typical engagement starts by understanding a month-end reporting routine end to end — its data sources, manual steps and control points. We identify the two or three places where most manual effort and risk are concentrated, often a manual reconciliation or an undocumented spreadsheet step, redesign those specifically, and then document and hand over the result so the team can run and maintain it.
